Guidelines to Registration &
Abstract Submission

 
 
Registration (new users)
 

In the Symposium Registration and Login Page, by clicking on the Register Here button you enter the New User Registration Page, where you will have to fill in a number of mandatory fields.

  • You will be asked to create your own username and password, that will allow you to login again to your own Registration Page at any moment, for checking, changing or updating your details.
  • Once you have identified yourself either as a Participant only or as a Presenter, you will have to select the appropriate category in the User Type field.
    If you are a Presenter you will have to choose your presentation type amongst
    verbal, poster or demo. You will be then requested to submit your presentation Abstract within 25 April 2000.

Once you have filled in the required fields, all you have to do is click on the Add button (at the top and bottom of the page).

If, after inserting your data, you decide that you want to register at another time, you can click on the Clear button (at the top and bottom of the page) to delete your details.

Login (users already registered)
 
Users that have already registered can access their own Registration Page by clicking on the Login Here button and then entering their username and password.

Forgot your username and password?
 
We suggest you take note and remember your username and password once you have created them.

In case you do not remember them, however, please make sure you notify us that you are going to register again using a new username and password: this will help us to keep track of users that register more than once.

How to update your Registration Page
 

In order to access and update your Registration Page you have to:

  • login to your Registration Page by entering your username and password
  • check and/or modify the fields as needed
  • click on the Save button (at the top and bottom of the page)
  • click on Quit on the left menu to exit

Your changes will be thus automatically saved in our database.

This procedure gives you the option to change not only your personal details, but also the User Type. To do so, please read:

Registration as a Participant only
 
When filling in the required fields, you have to choose the Participant only option in the User Type field.

Cancellation of Attendance as a Participant only
 

We strongly recommend you cancel immediately your Attendance status if you cannot attend anymore.

All you have to do is login to your Registration Page, select Cancelled in the Attendance field and click on Save.
The status of your attendance will now read "Cancelled".
However, your details will be kept in our database and will be still accessible to you through the login for modifying again the status to
Confirmed in case you change your mind.

Deadline for changing your Attendance status:

Turning your Registration as a Participant only into Registration as a Presenter
 
Once you have registered as a Participant only, you may as well turn your registration into Presenter by logging in to your Registration Page, changing the User Type option, and then clicking on Save.

Registration as a Presenter
 
When filling in the required fields, you have to select the appropriate type of presentation in the User Type field: you can choose amongst verbal, poster, demo.

Cancellation of Attendance as a Presenter
 

We strongly recommend you cancel immediately your Attendance status if you cannot attend anymore.

All you have to do is login to your Registration Page, select Cancelled in the Attendance field and click on Save.
The status of your attendance will now read "Cancelled".
However, your details will be kept in our database and will be still accessible to you through the login for modifying again the status to
Confirmed in case you change your mind.

Please note that, should your Attendance status read Cancelled on the 10 May deadline, any request from your side to re-confirm your participation as a Presenter is subject to approval.

The same procedure will be applied in case you may want to Cancel your Attendance at any time after 25 April. It is then recommended to immediately notify us besides changing the Attendance status online.

Deadline for changing your Attendance status upon notification and approval: 15  September 2000.

Turning your Registration as a Presenter into Registration as a Participant only
 

Once you have registered as a Presenter, you may as well turn your registration into Participant by logging in to your Registration Page, changing the User Type option, and then clicking on Save.

It is recommended to immediately notify us should you turn into Participant after 25 April, so that your Abstract will not be taken into consideration.

Deadline for turning your registration to Participant only upon notification: 15 September 2000.

How to submit your abstract
 

After having registered as a Presenter, you will have to:

  • click on the Login button on the left menu in order to login again to your Registration Page by entering your username and password
  • go to the bottom of your details and select the submit a new abstract option
  • at this stage, you will enter your Abstract Page, where you will be asked to confirm your personal details once again and fill in the Abstract fields (Title, Co-author(s) and Abstract).
  • after you have entered the required information, all you have to do is click on the save & send button, which will save your abstract information and send it to our database.

Standard Abstract Format
 

In order to be able to prepare and deliver a complete and homogeneous collection of abstracts at the Symposium, we expect your co-operation in ensuring that your abstract input to the web site reflects the following standard:

Total length
250 min. / 350 max. total number of words

Text format
A frequent paragraph / new line separation is recommended for easier reading and quick comprehension of main paper contents.

Co-authors
In case of co-authors, it is recommended to insert for each one, in the specific ''field'', a full scale information, namely:

 
  • name & surname
  • institute's name and complete address
  • e-mail
  • telephone & fax numbers
    (preceeded by 00 and country code)

How to access and update your abstract
 

You can access and update your abstract after you have saved and sent it to our database.

Please note that the following steps will allow you access to all the abstracts you may have sent.

  1. login to your Registration Page

  2. go to the bottom of your details and click on the update your abstract option

  3. click on the Abstract Page icon

  4. now that you have access to your Abstract Page, if you want to update any of the fields, you have to click on the save abstract on hold in order to update link

  5. now that your abstract has been saved on hold (which means that it has been placed in a working area for you to make changes), you have to click on the Abstract on Hold button (both at the top of the page and on the left menu)

  6. you are finally in the Abstract Search Result Page: this means that here you have access to all the abstracts you have saved with save & keep (in case you have saved more than one abstract)

  7. click on the Update Abstract link of the abstract you want to modify

  8. at this stage, you enter your Update Abstract Page: after making your changes, all you have to do is click on save & send.

How to submit your final paper
 

It is recommended to read and possibly print the guidelines for paper preparation before submitting your final paper.

The following steps will allow you to access all abstracts you may have submitted and attach your final paper:

  1. login to your Registration Page

  2. go to the bottom of your details and click on the SUBMIT button

  3. click on the Abstract Page icon

  4. now that you have access to your Abstract Page, you have to click on the save abstract on hold in order to attach final paper link, on top of the page

  5. your abstract has been saved on hold (which means that it has been placed in a working area for you to attach your final paper); now click on the Abstract on Hold button (either on top of the page or on the left menu)

  6. you are finally in the Abstract Search Result Page: this means that here you have access to all the abstracts you have saved with save & send (in case you have saved more than one abstract)

  7. click on the Update Abstract link of the abstract to which you want to attach your paper

  8. at this stage, after scrolling down your personal details and abstract proposal, you have to select your document clicking on the BROWSE button and choosing the File type.
    Finally click on
    save & send.

    NOTE1: In case, following your request, the abstract text has been modified as to either main author's name, personal settings or presentation type, such modifications are not reflected in the web site but instead in the Volume of Abstracts.
    However, the Proceedings CD will show update information.


    NOTE2: Once your final paper text is in web, any subsequent dialogue regarding changes, missing or unreadable image files, etc., will have to be handled directly between yourself and the appointed ESA Publications Division's editor:

    TRANSMITTING YOUR PAPER TO THIS WEB SITE IS THE ONLY SUBMISSION METHOD FOR INCLUSION IN THE PROCEEDINGS ON CD-ROM.
